Heartchive is a private space for journaling, memory preservation, and organizing the practical parts of loss. What you keep here belongs to you. This Privacy Policy explains how we collect, use, and protect your information when you use Heartchive (the “Service”).

Who We Are

Heartchive, Inc. (“Heartchive,” “we,” “us,” or “our”) provides a journaling, memory-keeping, and organization app. Heartchive is not a healthcare provider and does not offer therapy, clinical advice, or medical services.

Information We Collect

We only collect what is necessary to operate Heartchive. When you create an account, we ask for your name, email address, and password. You may also choose to add a name or nickname for a loved one and select a relationship type. As you use the app, you may upload journal entries, letters, reminders, photos, videos, audio recordings, documents, or other information that is meaningful to you. We also receive limited technical details such as device type, operating system, IP address, and app performance diagnostics so the Service can function safely and correctly. We do not collect contact lists, precise location, health record data, or advertising identifiers. We do not show ads and we do not sell your personal information.

How We Use Information

We use your information to create and manage your account, provide and improve the Service, and keep the platform secure. We may send you necessary communications about updates or service notices. Information may also be used to comply with applicable law. We may de-identify and aggregate usage data to help improve Heartchive, but this information cannot be used to identify you.

When We Share Information

We only share personal data when necessary to operate the Service or for legal reasons. We work with trusted third-party providers that support secure hosting, error monitoring, and app infrastructure, and they are contractually obligated to use your information solely to help us provide the Service. We may also disclose information if required to comply with law, to protect safety, or in the event of a business transfer with notice to you.

Encryption & Security

Your data is encrypted in transit and at rest. Our cloud storage environment uses access controls to protect against unauthorized access. Heartchive personnel cannot view your private content unless you explicitly request support that requires temporary access. Although no method of electronic storage is fully secure, we work continuously to protect your information.

Data Ownership & Control

You own your content. You may view, edit, or delete your entries at any time. You may also delete your account entirely from the email associated with your account. Primary data is removed from active systems immediately and backups are permanently deleted within 30 days, unless longer retention is legally required.

Use Rights

You have the right to access, correct, or delete your personal information. We may ask for verification before completing a request to protect your privacy.

Mental Health & Safety Disclaimer

Heartchive is not medical care, therapy, or a crisis service. It does not provide diagnosis, treatment, clinical recommendations, or emergency intervention. If you are in crisis or require immediate help, contact local emergency services or a crisis hotline in your region.

International Use

Heartchive currently operates in the United States. If you use the Service from another country, your information may be transferred and processed in the United States.

Children's Policy

Heartchive is for individuals 16 years and older. We do not knowingly allow children under 16 to create accounts. If we learn that an account belongs to someone under 16, we will remove the account and data.

Changes to This Policy

We may update this Privacy Policy occasionally. If a change is significant, we will notify you in the app or by email before the update takes effect. The “Last Updated” date above reflects the most recent revision.
